In line with our plans to make ICT’s services easier and more accessible, we have replaced the paper ‘C’ form with two online forms (with one more on its way). These forms allow staff to request new college usernames, or logons, that are not covered by any of the additional processes outlined below.
The forms (“Request a new college username” and “Request a role account username”) are located on the ICT User Registration web page. Only authorised personnel are able to access these forms. (If you feel you should not be on this list, or you believe someone is missing from the list, please notify ICT User Registration by calling (020 759) 49008 with the details).
Existing paper copies of the ‘C’ form should no longer be used, as all requests must now be made via the online form.
So, when should the online forms be used? Very rarely. For students and members of staff, usernames are automatically generated via the ICIS-HR system as part of the registration or recruitment process and when they join the college they should be able to activate their account at the following site: https://www.imperial.ac.uk/ict/activateaccount/
Contractors, temps and other long-term visitors (also known as “Contingent Workers”) are also managed within ICIS using a separate process. Click here for more information about the Contingent Workers process.
Finally, guests and visitors who will only be here for a relatively short period of time (under 60 days) should have their accounts requested via the Guest Access system.
This leaves a small number of people who should follow our new online forms.
Some have relatively clear-cut statuses such as Honorary staff, Role accounts (which have their own request form) and college auditors. But we have kept an ‘Other’ section for people who do not fit neatly into any easy category. These include members of the Clinical Sciences Centre MRC, GPs who are mentoring our medical undergraduates, Faculty of Medicine staff who use Imperial access for their UMO exam marking / foreign assignments etc., Reach Out staff and students, Northwick Park Institute of Medical Research staff and Research Collaborators (although they will probably move to using Guest Access accounts later in 2010). A long list, but hopefully over time most of these group will be able to fall into a more standardised setting, making the process easier for everyone to follow.
