I am unable to log into my account, what should I do?

Please check that you have the following minimum system requirements? One of the mentioned requirements below may be causing the difficulties you are having trying to log in.

1) Internet Explorer 5.5 or higher

2) Pop-up blockers turned off

3) Check if your virus protection is blocking access to the site. If so then allow temporary access.

Please could you also clear all of your browser cookies, temporary files and cache. The procedure for doing this varies, depending on the type of browser you use; the ‘Help’ files should contain this information. If you need more help, let us know via service.desk@imperial.ac.uk (tell us which operating system and browser you are using please).

If you are copying and pasting in your password please check that you are using the most recent password and that you are not copying any extra blank spaces.

Please also note that after several failed log in attempts your account will lock automatically for security reasons.

If this happens you will need to contact the Imperial ICT service desk by emailing them on service.desk@imperial.ac.uk in order for them to unlock your account.

Provided there is sufficient time for the applicant to apply via iRecruitment before the closing date of the vacancy and that there is not a malfunction/problem with the system, you may wish to use one of the email templates to respond to their application.  Please note that there are separate templates for external applicants and internal College applicants.

Who are the HR iRecruitment Superusers?

By default the system only shows the list of active applicants in the applicant list. Where applicants have withdrawn their applications or been rejected then they will be removed from this list. To view a full applicant list please check the Rejected Applicants box on the applicant list page.

Yes, you can do this by outlining the relevant application process in the How to Apply section of the advert. We cannot however prevent applicants from uploading CVs as part of their application as academics need to be able to submit CVs as part of their applications.

This may be because:
1) the applicant has uploaded documents but these have not yet been zipped. The ‘zip process’ runs once each night therefore if an applicant has submitted their application on the same day that you view the record, you will not see the zipped documents symbol in the View Applicants page nor will you be able to forward their documents for shortlisting as their documents will not be zipped until that night. You will therefore need to wait until the next day before forwarding applications for shortlisting.
2) the applicant did not upload any documents. You can check this by opening the applicant’s record and clicking on the to the CVs, Application Forms and Supporting documents tab.

The Status and Notification list below shows which statuses trigger email notifications:
Active Application: Applicant applies; Application Acknowledged
Hold: Administrator gives status to applicant; No notification fires
Short-list: Administrator gives status to applicant – indicating application forwarded to shortlisting panel; No notification fires
First Interview: Administrator gives status to applicant – Advising Interview invitation will be sent; Invite to Interview
Second Interview: Administrator gives status to applicant – Advising Interview invitation will be sent; Invite to Interview
Offer: Do not use –  No notification fires
Accepted: Administrator gives status to applicant; No notification fires
Application Withdrawn: Applicant withdraws application; Confirmation of Withdrawal
End Application: Administrator gives status to applicant; No notification fires
Not short-listed: Administrator gives status to applicant; Regret not shortlisted
Regret – don’t email: Administrator gives status to applicant; No notification fires
Regret following interview: Administrator gives status to applicant; Regret following interview
Successful Internal Applicant: Administrator gives status to applicant; Do not use – No notification fires
