In order to log into the College network, you will use the same username and password that you use to log into Student e-Service.
Please ensure you upload your documents to the Embark application system in the following format
- PDF (created in Acrobat 7 and earlier)
- Microsoft Word (doc and .docx)
- Generic ASCII Text
- Generic RTF
- JPEG (.jpeg or .jpg)
- GIF (.gif)
- TIFF (.tiff or .tif)
- Bitmap (.bmp)

Before accepting your offer in Student e-Service you must open and read the College’s conditions. Click the ‘Conditions’ button to open the Conditions of the offer. Once you have read through the information, click the ‘Return to Submit’ button in the bottom left corner of the screen to return to the previous page (do NOT use the browser’s ‘Back’ button). You will then be able to accept the offer.
Registry is unable to acknowledge receipt of supporting documents, including references due to the extremely high volume of documentation received on a daily basis. If you have submitted documents, including references, original transcripts or certificates, please monitor the progress on the application tracking section of your Student e-Service account. It can take up to 3 weeks for documents to be verified and manually updated on your Student e-Service account.
If, after 3 weeks, your e-Service account has not been updated, please contact the appropriate admissions team
If you experience any technical difficulties or error messages when attempting to activate your account, or login to Student e-Service, please call the ICT Service Desk on +44(0)207 594 9000. Please remember to state your CID in all correspondence.
Please note that password information cannot be given out via email. If you are unable to call the ICT Service Desk for any reason, you can email them, however you will need to supply a contact telephone number as they will need to ring you back.

You should note, the ICT Service Desk can resolve the majority of enquiries over the telephone. This method of contact is much quicker if you require an immediate solution.
Within 10 working days of submitting your Postgraduate application, you will receive an email containing your CID (College Identifier) and instrucions on how to activate your Student e-Service account.
You can use Student e-Service to track the status of your application.
Please note you cannot upload documentation into e-Service in support of your application. If you wish to send supporting documentation to the admissions team, but have already submitted your applicationm online, you should do so via email. Please remember to state your CID in all correspondence
You will only be able to activate your Student e-Service account once you receive an email containing your CID and Username. You will receive this email no more than 10 working days after you submit your Postgraduate application. The email will contain a link to the Account Activation page.
If you do not receive the email, please contact the Registry Systems team, giving your full name, programme applied for, and date of birth.
Once you have successfully activated your account, you will be able to track the progress of your application.
Once a decision has been made on your application, you will receive an email prompting you to log into e-Service to view the decision. If you are fortunate enough to receive an offer of admissions you can also respond to the decision within e-Service, whether you wish to accept or decline the offer.
Please note – Your CID and username will remain the same throughout your time at Imperial College, should you gain and accept an offer of admission.
A CID number is a College Identifier.
All Postgraduate applicants will a CID within 10 working days of submitting an application through the online Embark system.
Undergraduate applicants will receive a CID once they have accepted an offer of admission, either firm or insurance.
All applicants should make a note of their CID. If they become students, their CID will remain for the duration of their stay within College.
